GAA Handball invites suitably qualified suppliers to submit a tender for the supply of medals, trophies and related awards as detailed in Appendix 1. Suppliers should provide unit costs for all items listed and identify any assumptions made where exact specifications are unavailable.
The successful tenderer will be required to supply medals, trophies and awards to GAA Handball in accordance with the requirements outlined below:
1. Scope of Work:
1.1. All medals, trophies and awards shall be supplied in accordance with the specifications outlined in Appendix 1 or equivalent approved alternatives.
1.2. Where an exact match to the products currently supplied cannot be quoted, tenderers may propose equivalent alternatives of comparable quality and specification.
1.3. The successful tenderer must demonstrate that proposed products meet or exceed the quality of products currently supplied to GAA Handball.
1.4. The successful tenderer shall provide details of product materials, dimensions, manufacturing standards and any available customisation options.
1.5. The successful tenderer must meet agreed delivery schedules and maintain adequate stock or production capacity to fulfil orders within the agreed timelines.
1.6. Suppliers should identify lead times for standard and bespoke orders and provide details of contingency measures in the event of supply chain disruption.
1.7. Suppliers should indicate whether artwork setup, design amendments, engraving, ribbons, packaging and delivery charges are included within the quoted prices.
1.8. Tenderers should identify any minimum order quantities, tooling charges, setup charges, artwork fees, delivery costs or other ancillary costs that may apply during the term of the contract.
1.9. Tenderers should outline any sustainability initiatives, recycled materials, environmentally friendly packaging or carbon reduction measures relevant to the products supplied.
2. Contract Details
2.1 GAA Handball intends to appoint a supplier for an initial period of three years, with the option to extend for an additional period, as agreed by both parties, subject to satisfactory performance and operational requirements. Any resulting contract may be terminated in accordance with its terms where the supplier fails to meet contractual obligations, agreed service levels or delivery requirements.
2.2 Tender prices submitted should remain fixed for a minimum period of 12 months from contract commencement. Any subsequent price adjustments must be supported by objective evidence and agreed in writing by GAA Handball, a minimum of 30 days in advance of changes.
2.3 While every effort has been made to provide comprehensive and accurate information in all notices and documents prepared for the purposes of this project, GAA Handball does not accept any liability or provide any express or implied warranty in respect of any such information. Tenderers must form their own conclusions about the solution needed to meet the requirements set out in this RFT.
2.4 GAA Handball is not bound to accept the lowest priced or any tender received. This RFT does not constitute an offer or commitment to enter into a contract for the supply of medals, trophies and awards. No contractual rights in relation to GAA Handball will exist unless and until a formal written agreement is in place.
2.5 Any notification of preferred bidder status by GAA Handball shall not give rise to any enforceable rights for the tenderer.
2.6 GAA Handball may cancel this tender process at any time prior to a formal written agreement being executed.
2.7 The award of a contract for the supply of medals, trophies and awards does not confer exclusivity on the successful tenderer.
3. Tendering Costs
3.1 All costs and expenses incurred by tenderers relating to their participation in this
Competition shall be borne by and are a matter for discharge by the tenderers exclusively.
4. Evaluation Criteria
4.1 Evaluation Tenders will be assessed using the following evaluation criteria:

4.2 GAA Handball reserves the right to seek clarification in relation to any aspect of a submission during the evaluation process.
4.3 Where product samples are requested, GAA Handball reserves the right to assess product quality, finish, durability, branding accuracy and overall suitability as part of the evaluation process.
4.4 GAA Handball reserves the right to appoint more than one supplier where it is considered beneficial to operational requirements, value for money, or continuity of supply.
5. Submission Guidelines for Respondents
5.1 Tenderers should provide details of at least three comparable projects completed within the last five years, including client names, project scope and contactable references where available.
5.2 Describe the quality assurance processes, product inspection procedures and order verification controls that will be implemented to ensure product quality, accuracy and timely delivery.
5.3 Highlight the proposed methodology and timelines for the project.
5.4 Tenderers must disclose any actual or potential conflict of interest that may arise in connection with this procurement process.
5.5 Submissions should be in the format of a Microsoft Word document, PDF document, or Microsoft Excel workbook. GAA Handball is not responsible for corruption in electronic documents. Tenderers must ensure electronic documents are not corrupt.

5.7 Only Tenders submitted to the email below will be considered. Tenderers must ensure that they give themselves sufficient time to submit all required tender documentation before the tender deadline.
5.8 The deadline for receipt of submissions will be 5:00pm on Friday, 23rd of October 2026. Tenders that are received late will not ordinarily be considered in this tender process unless GAA Handball decides otherwise.
5.9 Tender prices submitted shall remain valid for a period of not less than 90 days from the tender deadline.
5.10 GAA Handball reserves the right to request product samples from shortlisted tenderers as part of the evaluation process.
5.11 Upon identification of the preferred bidder, GAA Handball will engage with the preferred bidder to formalise the proposed timelines and deliverables.

6.2 GAA Handball reserves the right to issue or seek written clarifications. GAA Handball reserves the right at any time before the Tender Deadline, to update or amend the information contained in this document and/or to extend the Tender Deadline. Tenderers will be informed of any such amendment or extension.
7. Appendix 1
7.1 Below is a table outlining the quantities of each product required together with the product codes used by our current supplier. Further product specifications and supporting documentation may be requested in accordance with Section 6.1 above.
7.2 The quantities outlined in Appendix 1 are provided for tendering purposes only and are based on historical requirements. GAA Handball does not guarantee any minimum purchase volume, and actual requirements may vary during the contract period.
